1. Our approach
Fenquist uses automation to save you time, never to make decisions about people. Anything it fills in for you is shown to you to check first, and you can always change it.
2. Where it's used
| Feature | How it works | AI? | You stay in control |
|---|---|---|---|
| Receipt reading | Reads supplier, date, total and VAT from a photo. Normally text recognition (OCR) on our own servers; optionally Anthropic's Claude for hard-to-read receipts. | Optional AI | Fills in the expense form; you check and save it |
| Tax estimate | Applies HMRC's published rates and thresholds to your income and expenses. | No, fixed rules | An estimate to plan with, not advice |
| Payment reminders | Sent on a fixed schedule for clients you switch them on for. | No, fixed rules | Switch off per client at any time |
| Mileage claims | HMRC approved mileage rates applied to journeys you log. | No, fixed rules | You log every journey |
| New sign-in alerts | Compares the kind of device with ones you've used before. | No, fixed rules | Emails you; nothing is blocked |
3. Your data and AI models
- We never use your data to train AI models, ours or anyone else's.
- When AI receipt reading is on, only the receipt image is sent to Anthropic, under commercial terms that don't allow them to train on it. The result comes straight back to you.
- No automated decision with legal or similarly significant effect is made about you or your clients.
