Getting paid as a consultant

  • Re-charge expenses at cost on separate lines, and keep the receipts: clients often ask.
  • Retainers are easier to run as recurring invoices sent on the same date every month.
  • Reference the statement of work or engagement letter so finance teams can approve quickly.

Every UK invoice also needs a unique number, the date, your name and address, your client's details, what you supplied and the amount due. More on what an invoice must show.

Do I add VAT to expenses I re-charge?

If you're VAT registered, usually yes: re-charged costs are part of your service, so VAT applies to the total you bill (minus the VAT you reclaimed on them).

Should I invoice in advance for a retainer?

Yes, most consultants invoice retainers at the start of the month they cover.

Is this consultant invoice template free?

Yes, with no sign-up. Fill it in, download the PDF and send it. Nothing you type is uploaded.
